Check notifications and requests
Start with the notifications panel, where unresolved items can quickly accumulate. Go through leave requests, approve or reject the ones still pending, and sign the documents that require validation. It’s also useful to check unread events to make sure you haven’t missed any important information.
Organize and update documents in the app
Various documents are constantly generated, and without periodic organization, they can become difficult to manage. This is a good time to delete files you no longer need and archive the documents that must be kept for legal reasons.
At the same time, it is worth conducting an audit of the documents in the personnel file, request templates, certificates for various events, as well as other documents related to employees or internal policies.
Update personnel files
Check whether employees’ contact details are correct and whether any documents are missing or unsigned. If physical files are still used alongside the personnel files in the HR software, you can verify whether the documents from the HRiFlow app have been downloaded and included in the physical file.
Set reminders for documents that are about to expire
As a company grows, it becomes increasingly difficult to keep track of documents that are about to expire, such as employment contracts, employees’ personal documents (ID cards, driver’s licenses), or meal voucher cards.
If you are not yet using an alert system, this may be the right moment to try HRiFlow’s reminders.
You can set the app to notify you a few days before a contract or personal document expires, either in the app or by email, so you have enough time to update it. Review past evaluations and schedule future sessions
If you use the performance reviews module, analyze past session results to identify areas for improvement. It may be worth introducing new evaluation variables, updating evaluation templates, or using more diverse and better-structured questions, perhaps even specialized questionnaires. An evaluation carried out with clear meaning and well-defined objectives from the start can lead to a deeper understanding of employees’ needs, performance, and potential areas for improvement.
You may also consider strategies to increase employee satisfaction at work, such as organizing anonymous satisfaction surveys distributed to all employees simultaneously. When people know that their responses are anonymous and that their feedback will be used to improve working conditions, they are more willing to participate and provide honest answers.
When the suggestions received are taken into account and translated into concrete actions, employees feel more heard and appreciated, which contributes to higher workplace satisfaction.

Self-evaluation sessions are also an opportunity to analyze employee performance over time and identify potential issues early on.
Plan employee leave in advance
If leave planning for the current year has not yet been completed, now is the time, especially with the summer season approaching. To avoid overlaps and the chaos that may follow, it is important for employers to have a well-structured vacation planning system.
Communicate the leave policy in advance, establish how far in advance leave must be requested, and clarify the reasons for which a leave request may be rejected. This helps eliminate the risk of an entire department being on vacation at the same time and ensures that every employee has a colleague available to replace them.

Make sure that all documents related to occupational health and safety, mandatory training, and internal policies reflect the latest legislative changes.
Updating the documents alone is not enough; it is equally important that employees are informed of the changes that directly concern them.
