External Documents
Documents can now be quickly shared with external parties, even if not registered in the HRiFlow application. This feature enables:
- Requesting future employees to complete, submit, or review documents, such as contracts
- Sharing documents with collaborators from various industries and managing them directly in the app
The shared documents remain stored in the application, ensuring easy access and allowing for future modifications. Additionally, each document can be configured with customized access rights:
- View Only – Ideal for documents that don’t require changes, such as reports or internal procedures
- Edit – Perfect for collaboration, enabling the team to work simultaneously on the same document
Simplified Sharing via Link
Documents can be quickly and easily shared by copying the link directly from HRiFlow and distributing it. This feature eliminates the need to download and send files via other platforms, making the sharing process more efficient and secure.
Document Protection with Encryption and Passwords
Document security is a priority in HRiFlow, and the latest update introduces encryption and password protection for maximum safety:
- Password-Protected Documents: Password-protected files are accessible only to those who know the password. The document can be recovered through special procedures if the password is forgotten
- Encrypted Documents: Encryption transforms the document into a coded format inaccessible without the decryption key. Encrypted files are highly secure and cannot be recovered if the key is lost. This advanced level of protection is ideal for sensitive information and requires a password to be set
