The projects appear in the employee\u2019s daily activities section in their profile.<\/p>\n\n\n\n<p><strong>Project work time logging<\/strong>: The time spent on projects is recorded separately through a widget available in the main dashboard or in the personal profile. This allows you to replace the default name in the application with a term that is more familiar to your company\u2019s employees.<\/p>\n\n\n\n<h4 class=\"wp-block-heading\" id=\"h-attention\"><strong><em>Attention!<\/em><\/strong><\/h4>\n\n\n\n<p><em>Basic accounts are limited to 3 projects. If you want to use more projects, you need the iPM business module. To start your trial period, email <a href=\"mailto:contact@hriflow.ro\">contact@hriflow.ro<\/a>.<\/em><\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-how-to-create-an-activity\">How to create an activity<\/h2>\n\n\n\n<p>An activity is a broader entity that includes and manages multiple individual projects. Examples: RON, EUR, USD<\/li>\n\n\n\n<li><strong>EUR exchange rate<\/strong> \u2013 Used to convert costs or revenues expressed in euros<\/li>\n\n\n\n<li><strong>USD exchange rate<\/strong> \u2013 Used to convert costs or revenues expressed in US dollars<\/li>\n\n\n\n<li><strong>Unit of measurement<\/strong> \u2013 Represents the unit used to measure the activity or services provided (e.g., hour, square meter, unit)<\/li>\n\n\n\n<li><strong>Employee cost per hour<\/strong> \u2013 The total company cost for one hour worked by the employee<\/li>\n\n\n\n<li><strong>Hours worked by employee<\/strong> \u2013 The total number of hours an employee worked over a given period<\/li>\n\n\n\n<li><strong>Employee cost<\/strong> \u2013 The total cost of the employee\u2019s work, calculated as:\n<ul class=\"wp-block-list\">\n<li><em>Employee cost per hour \u00d7 Hours worked by employee<\/em><\/li>\n<\/ul>\n<\/li>\n\n\n\n<li><strong>Billed cost per hour<\/strong> \u2013 The hourly rate charged by the company to the client for the employee\u2019s work<\/li>\n\n\n\n<li><strong>Billed hours worked<\/strong> \u2013 The number of hours worked by the employee that were billed to the client<\/li>\n\n\n\n<li><strong>Billed cost<\/strong> \u2013 The total amount billed to the client<\/li>\n\n\n\n<li><strong>Paid billed cost<\/strong> \u2013 The amount actually received from the client<\/li>\n<\/ul>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-what-happens-when-you-modify-a-field\"><strong>What happens when you modify a field<\/strong><\/h3>\n\n\n\n<p>If you modify a custom field (e.g., activity cost), the change will <strong>NOT<\/strong> apply retroactively.<\/p>\n\n\n\n<p>The new values will only apply to projects and sub-projects added after the modification.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-filling-in-values-in-attendance\"><strong>Filling in values in attendance<\/strong><\/h3>\n\n\n\n<p>When employees or team leaders record attendance:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>They can fill in how many <strong>square meters<\/strong>, <strong>units<\/strong>, or <strong>hours <\/strong>were completed<\/li>\n\n\n\n<li>This information will be automatically reflected in the <strong>Activity Report<\/strong>, providing a clear view of the work volume performed<\/li>\n<\/ul>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-how-to-create-a-section\">How to create a section<\/h2>\n\n\n\n<p>A section can be used to organize and group projects based on specific criteria or categories.<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Click the <strong>\u201c+\u201d<\/strong> button next to the <strong>Add project<\/strong> button<\/li>\n\n\n\n<li>Click on <strong>Add section<\/strong><\/li>\n\n\n\n<li>Enter the <strong>name<\/strong> of the section, then click outside the field to save it<\/li>\n\n\n\n<li>To edit, click the <strong>pencil icon<\/strong> when hovering over the section with your mouse<\/li>\n\n\n\n<li>To delete, click the <strong>\u201cx\u201d<\/strong> button<\/li>\n\n\n\n<li><strong>To add a project to the section,<\/strong> click the <strong>\u201c+\u201d<\/strong> button<br><\/li>\n<\/ul>\n\n\n\n<figure class=\"wp-block-image size-full\" id=\"td-article-img-border-td-article-img-bottom\" style=\"max-width:1200px;margin-bottom:50px\"><img decoding=\"async\" width=\"1375\" height=\"782\" src=\"https:\/\/hriflow.ro\/wp-content\/uploads\/2024\/09\/how-to-create-a-section-hriflow.png\" alt=\"picture illustrating how to create a section for a project in HRiFlow app\n\" class=\"wp-image-112973\" srcset=\"https:\/\/hriflow.ro\/wp-content\/uploads\/2024\/09\/how-to-create-a-section-hriflow.png 1375w, https:\/\/hriflow.ro\/wp-content\/uploads\/2024\/09\/how-to-create-a-section-hriflow-300x171.png 300w, https:\/\/hriflow.ro\/wp-content\/uploads\/2024\/09\/how-to-create-a-section-hriflow-1024x582.png 1024w, https:\/\/hriflow.ro\/wp-content\/uploads\/2024\/09\/how-to-create-a-section-hriflow-768x437.png 768w, https:\/\/hriflow.ro\/wp-content\/uploads\/2024\/09\/how-to-create-a-section-hriflow-738x420.png 738w, https:\/\/hriflow.ro\/wp-content\/uploads\/2024\/09\/how-to-create-a-section-hriflow-696x396.png 696w, https:\/\/hriflow.ro\/wp-content\/uploads\/2024\/09\/how-to-create-a-section-hriflow-1068x607.png 1068w\" sizes=\"(max-width: 1375px) 100vw, 1375px\" \/><\/figure>\n\n\n\n<h2 class=\"wp-block-heading\">How to create a project<\/h2>\n\n\n\n<ul class=\"wp-block-list\">\n<li>From the main menu, go to <strong>Workspace \u2013 Projects<\/strong><\/li>\n\n\n\n<li>Click the <strong>Add project<\/strong> button<\/li>\n\n\n\n<li>Enter the <strong>Project name<\/strong><\/li>\n\n\n\n<li>Click outside the name field to finalize the action<\/li>\n\n\n\n<li>To add more details, hover over the project and click <strong>Details<\/strong>\n<ul class=\"wp-block-list\">\n<li><strong>Visibility<\/strong> \u2013 <strong>Private<\/strong> or <strong>Public<\/strong>; all new projects are automatically set to <strong>Private<\/strong>. Visibility can be changed by the employee who created the project, or by project owners and collaborators who have permission to edit projects. (More details about permissions can be found <a href=\"https:\/\/hriflow.ro\/en\/documentation\/projects\/#project-permissions\">here<\/a>.)<\/li>\n\n\n\n<li><strong>Select Owner and Collaborators<\/strong> (if applicable). The project owner will automatically be added to the collaborators field to give a quick overview of all project members.<\/li>\n\n\n\n<li><strong>Logged time<\/strong>: Tracks the time entered by employees for the project<\/li>\n\n\n\n<li><strong>Estimated time<\/strong>: Set by the person creating the project to help monitor progress and estimate the time needed to complete tasks<\/li>\n\n\n\n<li><strong>Calculated progress<\/strong>: Represents the ratio between estimated time and logged time<\/li>\n\n\n\n<li><strong>Estimated progress<\/strong>: Entered by the project owner once the project starts, to help set realistic expectations for duration and required effort<\/li>\n\n\n\n<li><strong>Due date<\/strong>: Specifies when the project should be completed. To save a template:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Open the desired project<\/li>\n\n\n\n<li>Click the <strong>Save as template<\/strong> button<\/li>\n\n\n\n<li><strong>Enter the template name<\/strong> \u2014 all existing subprojects within that project will be saved as part of the template<\/li>\n<\/ul>\n\n\n\n<p>To use it in a future project, create the project, click <strong>Import template<\/strong>, and then select the desired template. To log time on a project:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Click the <strong>Start<\/strong> button in the <strong>Time on Projects<\/strong> widget<\/li>\n\n\n\n<li>Select the <strong>activity<\/strong> and the <strong>project\/subproject<\/strong><\/li>\n\n\n\n<li>Indicate whether the time spent on the project is <strong>billable<\/strong> by clicking the <strong>$<\/strong> icon<\/li>\n\n\n\n<li>To stop tracking time, click the <strong>Stop<\/strong> button. You can log multiple time intervals in a single day, either on the same project or across different ones<\/li>\n<\/ul>\n\n\n\n<p>The widget displays a calendar for the current month, with a <strong>progress bar <\/strong>below each day representing<strong> time spent on projects<\/strong>. The bar can appear in three colors:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Red<\/strong>: Total hours on projects are less than the scheduled working hours<\/li>\n\n\n\n<li><strong>Green<\/strong>: Total hours on projects match the scheduled working hours<\/li>\n\n\n\n<li><strong>Yellow<\/strong>: Total hours on projects exceed the scheduled working hours<\/li>\n<\/ul>\n\n\n\n<p>Below the calendar, you\u2019ll find the time intervals recorded for projects, along with their details: <strong>total time spent on the project<\/strong>, <strong>the $ icon<\/strong> (which appears blue if the time is billable), <strong>start time<\/strong>, <strong>end time<\/strong>, <strong>activity<\/strong>, and<strong> the associated project or subproject<\/strong>. Next to each interval, there is a<strong> delete button<\/strong> in case you want to remove that specific entry.<\/p>\n\n\n\n<p>At the bottom of the widget, the <strong>total time spent<\/strong> on all projects for the current day is displayed. On the right side, there is the <strong>Add interval<\/strong> button. This can be used to insert additional time intervals, either when working on multiple subprojects simultaneously or when logging time for a different date than the current one. By default, the report is set to display projects with real attendance, but you can filter by specific activities.
