Most of the time, HRiFlow users want both an accurate account of the time employees spend at work, but also the timesheet ready at the end of the month with all the calculations made. This is possible in HRiFlow by using real attendance and work planning in parallel.<\/p>\n\n\n\n

Read this article to learn the benefits of using the app in this way.<\/p>\n\n\n\n

Benefits and parallel use<\/h2>\n\n\n\n

I\u2019m starting this article by explaining how you can use both of them in parallel and what are the benefits. At the end of the article, you will find extra information, in case you want to learn how things work.<\/p>\n\n\n\n

Practical use it\u2019s really simple, for real attendance all that you need to do is let your employees know that they need to check-in\/out of work. It depends on you if you want to use a phone or a PC\/laptop to do so. For the planning, you just need to set the work schedule for all the employees, it can be done either by the administrator or by the team leaders.<\/p>\n\n\n\n

After you have all this information in the app, the next steps are the reports.<\/p>\n\n\n\n

You will use the timesheet:<\/p>\n\n\n\n

For the real attendance – select at Timesheet settings – Live attendance at Data source<\/p>\n\n\n\n

Why is this helpful?<\/strong> It helps you monitor employees and their working hours. You can see when they checked-in\/out by using the Real registry and in the timesheet you can see the total of hours.<\/p>\n\n\n\n

For the planning you will use either the timesheet based on the work schedule or based on the work schedule + overtime.<\/p>\n\n\n\n

The difference between them is that the timesheet based on the work schedule has all the hours calculated based on the planning, without the overtime hours based on the quota. If you want to see them, you will need to choose the timesheet based on the work schedule + overtime.<\/p>\n\n\n\n

You will select the data source as mentioned before.<\/p>\n\n\n\n

Why is this helpful?<\/strong> You will have the planning of the work schedule based on the employment contracts and the timesheets ready for your salary software. Based on the work schedule, the hours are rounded and completed. You will notice that based on the real attendance the numbers are not rounded.<\/p>\n\n\n\n

Until now I told you how to use them in parallel and the benefits of each. If you still have any doubts:<\/p>\n\n\n\n

If you are using both, the act of monitoring and managing employees is complete. You will not only see their real working hours, but you will be able to compare it to the planning.<\/p>\n\n\n\n

Example<\/em><\/p>\n\n\n\n

If employee X has a predefined schedule, from 8 AM to 4 PM. In the Real registry, you will notice that this employee checks-in at 8.30 AM.<\/p>\n\n\n\n

Besides, comparing the check-in\/out hours, you can also compare the daily working hours. If employee X, needs to work 8 h\/day, you can easily see if he respects this or not.<\/p>\n\n\n\n

Registering data<\/h3>\n\n\n\n

For each way of using there are reports and specific settings.<\/p>\n\n\n\n

For live attendance, there is the timesheet with the live attendance data source, a real registry, and a real attendance report.<\/p>\n\n\n\n

The real attendance report is also the place where you can easily edit check-ins\/out if needed.<\/p>\n\n\n\n

For the work schedule planning there is the timesheet with the work schedule data source, the monthly attendance, and planned hours.<\/p>\n\n\n\n

The timesheet based on the work schedule has 3 data sources: work schedule, work schedule + overtime, and predefined shifts. All of them are using the information you added in the Work schedule panel.<\/p>\n\n\n\n
